A team is any active roster of athletes that competes or trains together under your organization — for example, a single age-group youth basketball team, a varsity volleyball squad, or a club soccer side. You add and remove teams on demand, and your monthly bill adjusts at the next billing cycle.

Setup includes onboarding, data migration from your existing tools, initial branding configuration, administrator training, and the first season of forms and registration setup. Higher tiers include white-glove implementation with dedicated onboarding sessions.

Yes. You can switch from monthly to annual at any renewal date. Annual billing saves roughly 17% — equivalent to two months free.

Add teams whenever you need to. You're billed only for the days each new team is active. There's no penalty for growing — and no penalty for reducing teams at the next renewal.

Yes. Verified 501(c)(3) youth sports non-profits receive 10% off all subscription tiers. Multi-year contracts (2+ years) receive an additional 5–10% discount depending on tier and term length. Contact us for details.

Monthly subscriptions can be cancelled at any time and remain active through the end of the paid month. Annual subscriptions can be cancelled and will not renew, but are non-refundable for the current term except as required by law.

Payment processing for registration is handled through Stripe at standard processor rates (currently 2.9% + 30¢ per transaction). FirstWIN Sports™ does not add any platform fee on top of registration payments at the Recreational and Clubs tiers. Institution and Professional tiers include negotiated processor rates.

Athlete Showcase is on track for Q3 2026. Subscribers in the Institutions and Professional tiers will receive Showcase included at no additional cost when it ships. Clubs subscribers can add Showcase for an additional fee at launch.

Any active subscriber can purchase add-on packs at any time — additional psychometric assessments or background checks beyond what your tier includes. Packs are consumed as you use them, and bigger packs offer better per-unit pricing. You can stack multiple packs in the same subscription year.

Yes. Add-on packs expire at the end of your current subscription year. We recommend buying packs sized to your near-term need rather than stockpiling. There are no refunds for unused add-on credits at year-end.

Background checks are powered by Checkr, an industry-leading FCRA-compliant screening provider. After purchasing a pack, you initiate a check from your admin dashboard, the candidate provides consent and personal information directly to Checkr, and results return to your dashboard typically within 24–72 hours. Coverage includes national criminal, county criminal (7-year), sex offender registry, SSN trace, and global watchlist screening — the standard level appropriate for working with youth. Enhanced screenings (federal, state, employment verification) are available on request.

Enterprise plans are custom-quoted based on your organization's scale, locations, and requirements. We typically work with multi-site operators (1,000+ athletes), regional non-profits, parks & recreation departments, and organizations operating in partnership with cities or school districts. Enterprise contracts include volume pricing on assessments and background checks, dedicated implementation support, RFP and procurement assistance, integration with your existing systems (DaySmart, CivicRec, RecTrac, ActiveNet), and multi-year terms. Engagements typically move from intro call to signed agreement in 2–4 weeks.
